for my education:

i graduated from shanghai institute of foreign trade, received my bachelor degree in logistics management and international trade. in college, i systematically mastered specialized courses.

about my work:

now i’m working in mitsuibabcock energy limited as the procurement assistant and project expeditor. mitsuibabcock is one of the world leaders in the supply of generating equipment for coal-fired power stations. it headquartered in united kingdom. shanghai is its regional office and sourcing center of asia-pacific.

mainly i have 4 job functions.

the first is suppliers’ evaluation and management. i get the companies’ information and catalogs by mail or on some exhibitions. by examining the materials, i pick out the ones provide products we purchase, and set them as our potential suppliers. but i may not find out the reality without a site visit.

(my line manager, colleagues from qa dept., and i will carry the suppliers’ assessment pack, totally about 30 pages, to the suppliers factory and do the audit report. the report consists of several sections like management/leadership, quality control, process control, documentation record control and serving. for example, quality control, does the company have a quality manual prepared to the requirements of iso9000; what process does the company use to confirm the status of products (by use of numbering system, stamping or signing approvals). the estimator gives comments and draws a conclusion whether the potential supplier meets the criteria.)

an audit report is formed after each site visit, and the qualified companies will be considered when i send out the request for quotation. all of the information and reports are kept in the office and each member can get it.

another responsibility of my job is to sign and manage the purchase orders. i am authorized to sign the orders of standard items like valves, pumps, and some switchers. the value exceeds 80 thousand chinese yuan, so there must be a bidding. according to the procurement plan, i send out the request for quotation to the suppliers on an exact date. generally 3 or 4 suppliers are asked to give the quota. they are given about 2 weeks to prepare the quota and send it back before the deadline. then i evaluate the commercial part of the quota with consideration of cost, technical standard, producing quality & delivery terms. i should investigate the reasons of difference and ensure the information flow between the suppliers and our engineering dept. then, there will be a difficult time for me to bargain the prices.

(i form a commercial bid tabulation listed all the details of the quota, such as the validity period, any discount, equipment costs, testing costs, inspection costs, erection costs, commissioning costs, and freight. i need to give a recommended bidder and the reasons of decision. of course, price cannot be the only reason. delivery is quite important, and the former performance say good corporation in other projects can greatly influence the decision.)

finally i’ll sign the contract after the commercial bid tabulation is approved by all of my supervisors.

after signing the contract, i need to chase it and expedite the implementation. i review the progress on a timely base, and ensure the effective communication with the customers and the supplier. an inspector must be sent to the factory before the equipments are packed and transported. then, all the related documents like the commercial invoice, packing lists will be provided to the shipping agent. i arrange the payment and sometimes reimbursement if they break any terms of the contract. also there might be matters followed like order amendment.

the final function of mine is the daily maintainace of the erp system. the forecast data and actual data should be input, and form the project procurement plan and purchase order process schedule.

i’m the backup of my line manager and do some admin work like hotel and ticket booking.

for my leisure time:

i do a lot of sport and go hiking on holiday. it can make me relaxed, and i thick good health is quite important, you know, to work under great pressure and travel a lot. i like tv play for example friends. and the girls are always a big fan of shopping.
